PERSONAL ASSISTANT/HOUSE MANAGER ASSISTANT FOR LOS ANGELES, CA FAMILY – MUST BE LOS ANGELES LOCAL

 Our clients in Encino and Brentwood, CA are seeking a highly skilled and experienced Personal Assistant to work out of the home for theCEO. This role requires excellent organizational, leadership, and communication skills, as well as a keen attention to detail. You must provide comprehensive administrative and organizational support in a professional and business setting. We are looking for someone with a no task is too big or small mentality, with a great attitude, ready to work and willing to learn.

As the Personal Assistant, you will have an opportunity to assist with the principal’s foundation; taking notes, maintaining organization, managing the foundation’s social media, and sitting in on zoom meetings. Although, this is not mandatory, the candidate will gain an additional 10 or so hours a week paid out by the foundation.

Job Responsibilities:

  • Calendar and schedule management: Managing the individual’s schedule, organizing appointments, and confirming, meetings, and events, and ensuring efficient time management. Sending confirmations and reminders verbally and through email
  • Communication management: Handling phone calls, emails, and other forms of communication on behalf of the individual, screening and redirecting inquiries as necessary. Must be able to communicate the individual’s questions and concerns to the corresponding staff
  • Travel coordination: Arranging travel logistics, including flights, accommodations, packing and unpacking, applying for visas, arranging ground transportation, and preparing itineraries for business trips or personal travel. Must be able to travel when needed and be passport ready
  • Information and document management: Gathering, organizing, and maintaining information and documents, such as reports, presentations, and files, ensuring easy accessibility and confidentiality
  • Meeting support: Scheduling meetings, preparing agendas, taking minutes, and following up on action items to facilitate productive meetings
  • Correspondence and email management: Drafting and proofreading correspondence, composing emails, and preparing other written materials on behalf of the individual
  • Administrative tasks: Performing administrative duties, such as expense tracking, invoicing, filing, and other organizational tasks to ensure smooth operations
  • Research and analysis: Conducting research on various topics, compiling information, and providing summaries of reports to support decision-making and strategic planning. Also, includes researching gifts for guest, family, and friends
  • Liaison role: Acting as a point of contact both internal and external, maintaining professional relationships and managing communications
  • Personal support: Assisting with personal tasks, such as managing personal appointments and possibly attending events, coordinating family arrangements, or handling personal errands, as requested
  • Including making breakfast, washing hair, making sure all prescriptions have been filled at the pharmacy, contacting doctors if prescriptions have not been filled. Arranging zoom calls with doctors. During the holidays ordering gifts and making sure it gets to the right person
  • Arranging holiday decorations, and party decorations, must be able to put a big party together
  • Running errands on a short notice and staying 10 steps ahead

Qualifications:

  • Excellent interpersonal and business communication skills
  • Team Player – being able to work alongside other staff members
  • Must be Apple product/MAC proficient and able to troubleshoot
  • Someone who thrives in managing multiple responsibilities concurrently, ensuring efficiency and attention to detail
  • Must have organization skills to oversee various tasks: clothing coordination, shopping, party planning, and car maintenance
  • Excellent communication skills
  • SMART home experience
  • Willingness to take on additional responsibilities for other tasks and projects as needed
  • Able to work within deadlines, quick on their feet, calm and cool under pressure; have common sense and logic
  • Strong organizational skills and attention to detail
  • Prior experience as a house manager/executive assistant and or personal assistant (3-5 years previous experience needed) with references
  • Clear DMV and background check required for consideration
  • Must have your own reliable car to run errands as needed (gas will be reimbursed)

Location: Encino/Brentwood, CA

Contract Length: Full-time/permanent

Schedule: Full-time, Monday – Friday 8:30 am-5:00 pm, and as needed on weekends, must be available to answer text or email after hours. Optional hours working for the principal’s foundation 10+ hours a week.

Salary: $40/hour/DOE (could go up for the right experience)
