EXECUTIVE ASSISTANT NEEDED FOR HIGH-PROFILE PRINCIPALS IN LOS ANGELES, CA

Our UHNW clients are seeking an Executive Assistant to provide high-level administrative support to high-profile principals. In this role, you will be responsible for managing all work-related tasks, coordinating schedules, and ensuring smooth operations. You will also handle routine administrative functions such as correspondence, visitor reception, conference calls, and meeting scheduling. Additionally, you may be required to train and supervise other admin/clerical staff.

Responsibilities:

  • Manage and maintain executives’ schedules
  • Extensive travel will be required (could be up to and above 3+ months)
  • Make travel arrangements for executives
  • Prepare various documents using word processing, spreadsheet, and presentation software
  • Coordinate and direct office services to support executives
  • Answer and redirect phone calls
  • Prepare responses to routine inquiries
  • Distribute incoming correspondence
  • Greet and screen visitors
  • Organize and arrange meetings, including catering coordination
  • Conduct research and compile data for executives
  • Perform general office duties and maintain records
  • File and retrieve corporate documents and reports
  • Review operating practices and suggest improvements
  • Attend meetings and record minutes
  • Process payroll information
  • Provide clerical support to other departments
  • Interpret administrative policies and procedures for employees
  • Meet with individuals and special interest groups on behalf of executives
  • Supervise and train clerical staff

Qualifications:

  • Knowledge of administrative and office procedures
  • Familiarity with customer service principles
  • Understanding of computer systems and electronic equipment
  • Familiarity with business and management principles
  • Ability to work in a fast-paced environment and meet deadlines
  • Strong interpersonal skills and ability to work in a team
  • Experience in coordinating and leading others is preferred
  • 5+ years’ experience in a similar role working for high-profile principals

Location: Los Angeles, CA

Contract Length: Full-time/permanent

Schedule: TBD, must be flexible to work weekends, after hours, and emergencies

Salary: 155K plus benefits
